Envoy includes an AI-driven "Profile Refinement Interview" feature designed to help you enhance your professional profile, specifically focusing on enriching your experience and project details. By engaging in a guided conversation, you can turn sparse bullet points into compelling narratives using the STAR (Situation, Task, Action, Result) method, and improve the overall quality and completeness of your profile.
How It Works
The Profile Refinement Interview works by interactively identifying "gaps" in your existing profile's evidence items (such as roles or projects). For each identified gap, Envoy's AI will:
- Ask a targeted question: Designed to elicit specific details about a situation, task, action, or outcome.
- Suggest an answer (optional): Based on the existing information in your profile, to give you a starting point.
- Provide context: Explaining the basis for the question and offering hints for improvement.
You then provide your answer, and the AI interprets it, proposing updates to your profile. You can review, confirm, or further refine these updates, allowing you to gradually build out detailed, impactful stories. This iterative process not only enriches your content but also helps Envoy learn your unique professional "voice" for more personalized cover letter generation.
Starting an Interview Session
To begin refining your profile, you initiate an interview session. You can choose to start a general interview that guides you through various items or focus on a specific experience or project.
When you start, Envoy analyzes your profile for areas that could benefit from more detail. If no profile exists, it will prompt you to provide an initial version.
To start an interview:

- Navigate to the Profile section of the Envoy Portal.
- Look for an option like "Start Profile Interview" or "Refine Profile."
- You may be asked if you want to focus on a specific experience (e.g., "Data Engineer at Department for Education") or conduct a general review.
Upon starting, Envoy prepares your current profile data and presents the first question.
The Interview Flow
Once an interview session begins, you'll follow a question-and-answer flow:

Receive a Question: Envoy will present a question designed to fill a specific gap in one of your profile's "evidence items."
- Example Prompt: "Tell me more about the specific situation that led to building the metadata-driven ingestion framework. What problem were you trying to solve?"
- You might also see a "Suggested Answer" and an "Improvement Hint."

Provide Your Answer: Enter your response in a free-text field. Be as descriptive as possible.

AI Interpretation & Review: After you submit your answer, Envoy's AI processes your input. It will:
- Interpret: Map your answer to the relevant STAR component (Situation, Task, Action, Outcome, Metrics).
- Propose Updates: Show you how your profile would be updated based on the interpretation.
- Assess Quality: Provide feedback on the completeness and quality of your answer.

Confirm or Refine:
- If you're satisfied with the proposed updates, you can Confirm them. This saves the changes to your draft profile.
- If you need to elaborate, you can provide more detail in response to follow-up questions or Clarify the existing question.
- You can also ask the AI to Rephrase the question or provide an Example answer to help you.

Iterate or Advance: Once an answer is confirmed, Envoy will either ask a new question about the same evidence item (if more gaps remain) or move on to a different item if the current one is sufficiently detailed.

Envoy interprets and proposes an update to your situation field. You confirm, and it then moves to task, action, and outcome for the same item.
Key Concepts for the Interview
- Evidence Items: These are the individual entries in your profile representing your professional experiences, projects, or accomplishments. The interview focuses on one item at a time.
- STAR Method: The AI guides you to flesh out your stories using the STAR framework:
- Situation: Describe the background or context.
- Task: Explain your specific responsibility or objective.
- Action: Detail the steps you took.
- Result: Quantify the outcomes and impact of your actions.
- Gaps: These are missing or underdeveloped components within an evidence item's STAR structure. The AI identifies and targets these for improvement.
- Voice Samples: As you provide answers, Envoy collects "voice samples" and builds a "voice profile." This helps the AI generate future cover letters and communications in your authentic style, preferring first-person narration if that's your natural tendency.
Managing Your Interview Session
During an active session, you can:
- Defer an Item: If you're not ready to discuss a particular evidence item, you can defer it and move to the next. You can return to deferred items later.
- Complete the Interview: Once you're satisfied with the profile refinements, or if you've addressed all critical gaps, you can mark the interview as complete.
Outcomes and Benefits
Upon completing a Profile Refinement Interview, your canonical_profile.json file is updated with the richer, more detailed content. This enhanced profile directly benefits your job applications by:
- Improving Match Quality: Envoy has more detailed information to match against job requirements.
- Generating Stronger Cover Letters: The AI can draw on your detailed STAR stories to craft highly personalized and impactful cover letters.
